Privacy Policy
This Privacy Policy describes the categories of information MyServeFlow, a service of Kirby Legacy Group, LLC ("we," "us"), may collect and use through its website, ministry onboarding, subscriptions, and ministry-content services. This policy should be reviewed against the actual forms, CRM, analytics, payment, AI, and hosting tools connected to the website before publication.
1. Information We Collect
- Contact and account details: names, email addresses, telephone numbers, ministry names, roles, and support communications you provide.
- Ministry profile: branding, denominational or theological preferences, Bible-translation preferences, ministry voice, approval requirements, and related onboarding responses.
- Submitted ministry materials: sermons, manuscripts, audio or video files, notes, links, images, drafts, and other materials submitted for content preparation.
- Transaction information: subscription choices, billing status, payment references, and related records provided by payment partners; full payment-card details are generally collected by the payment processor rather than entered into a MyServeFlow form.
- Technical information: browser, device, IP address, pages visited, and cookie or analytics information where collected by the website and its providers.
2. How We Use Information
We use information to respond to inquiries, create and administer accounts, process onboarding, deliver and personalize ministry content, obtain approvals, provide support, administer billing, secure and troubleshoot our systems, and comply with legal obligations. We may also contact you about requested services and business updates, subject to applicable consent and opt-out requirements.
3. AI-Assisted Content Processing
MyServeFlow uses technology-assisted processes, including SHAPHÄN, to organize and draft materials from ministry-provided content. Submitted information may be processed by service providers supporting these functions. Do not upload sensitive pastoral counseling records, children's personal information, confidential medical or financial records, or other high-risk personal data unless MyServeFlow has expressly confirmed an appropriate arrangement for that information. Ministries should remove unnecessary personal details from sermons and member data before submission.
4. When Information May Be Shared
Information may be disclosed to vendors that support website hosting, CRM and onboarding, payments, communications, content processing, security, and technical operations, as necessary to provide requested services. Information may also be disclosed if required by law, to protect rights or safety, or in connection with an organizational transaction subject to applicable legal requirements. Third-party services linked from the website operate under their own privacy terms. The website owner should verify and disclose all actual vendor and advertising data-sharing practices before publishing this policy.
5. Cookies and Website Measurement
The website and its providers may use essential cookies or similar technologies to operate the website and, if enabled, analytics or marketing technologies to understand site use. Browser settings may allow cookie controls. Any nonessential tracking and any legally required consent choices must be configured on the actual site, not merely described in this policy.
6. Payments and Church Giving
Subscription payments are handled through payment service providers, whose notices govern their collection and processing of payment information. Where a ministry provides a link to its own giving provider, donations and donor records are handled by that ministry and its selected provider, not as a MyServeFlow donation-processing service.
7. Communications
If you provide contact details, we may use them to answer your inquiry or send service-related messages. Promotional email recipients may opt out through the instructions in the message or by contacting us. A church that imports member contacts or distributes ministry communications is responsible for appropriate notice, consent, and recipient rights under applicable law.
8. Data Retention and Security
We intend to keep information only as reasonably needed for service delivery, support, legitimate business records, dispute handling, and legal compliance. Specific retention and deletion periods may depend on the connected systems and should be verified before this policy goes live. We use reasonable safeguards appropriate to the systems employed, but no online service can guarantee absolute security.
9. Your Choices and Requests
To request access, correction, deletion, or information about your personal data, email [email protected]. We will review requests under applicable law and may need to verify identity or retain certain records for lawful purposes. If your information was supplied by a church, you may also need to contact that church as the organization responsible for its member records.
10. Children's Privacy
MyServeFlow may help ministries create age-appropriate Kids and Youth ministry content, but that does not mean the website is intended for unsupervised registration or direct collection of personal information from children. Ministries should not submit identifiable children's data without necessary authorization and appropriate privacy safeguards. Contact us promptly if you believe a child’s information was submitted improperly.
11. U.S. and Other Privacy Rights
Depending on where you live, privacy laws may provide additional rights concerning personal data, including rights to access, correct, delete, or limit certain uses. Contact us to exercise applicable rights. We will consider requests in light of the law and our role in processing the information.
12. Changes to This Policy
We may revise this policy as services or data practices change. We will post the updated version here with a new effective date and provide additional notice when required.
